Registration data
If you register your interest, we ask for your email address. Your name and activity interests are optional. We also record your confirmation that you are 18 or older, that you have read this notice, your separate marketing choice and the form submission date and time supplied by Google Forms. We use this information to manage your enquiry, understand interest in planned activities and, only if you opt in, send marketing emails.
Employment data
For an initial application, we ask for your full name, email address and role or area of interest. Your phone number, availability and short note are optional. We also record your confirmation that you are 18 or older, that you have read this notice and the submission date and time supplied by Google Forms. We use these details to review your interest and communicate with you about recruitment.
We do not ask you to upload a CV in the initial form. If we need one, we will contact selected candidates with instructions for submitting it securely. For requested CV uploads, we also collect your CV file. Google records the name, email address and profile photo associated with the Google Account used for the upload. Application information is kept separate from interest registration and marketing information.
Marketing is your choice
Consent to receive PlayIn news, opening updates, offers and event information by email is separate from registering your interest. The marketing box is optional and starts unchecked. You can withdraw consent at any time using an unsubscribe link in a marketing email or by writing to marketing@playin.ie. Withdrawal does not affect processing that took place before it. We do not use job applications for marketing.
Purposes and legal bases
We process registration details to handle enquiries and plan the developing venue based on our legitimate interests in preparing PlayIn and responding to people who contact us. We process initial application details to take steps requested by candidates before a possible employment relationship and to manage recruitment. We send email marketing only where you have given consent. Where applicable, we may retain limited information to comply with legal obligations or to establish, exercise or defend legal claims.
Recipients and providers
We use ChatGPT Sites/OpenAI for the website interface; Google Forms, Google Sheets and Google Drive for forms, responses and requested CV uploads; and Microsoft 365 for communications. If you allow analytics cookies, we also use Google Analytics to understand website visits and interactions. Access to submitted information is limited to people who need it for the relevant purpose.
How long we keep information
We keep interest registrations and activity interests for 24 months. We keep applications and CVs for 12 months. We use a marketing email address until you withdraw consent, then retain only the minimum evidence needed to record that choice. We may retain information longer where a legal obligation or claim requires it.
Your rights
Depending on the circumstances, you may request access to your personal data, correction, deletion, restriction or portability. You may object to processing based on legitimate interests and withdraw consent where consent is the basis. Email info@playin.ie to exercise these rights. We may need to verify your identity before acting on a request.
You can complain to the Data Protection Commission, Ireland.
International transfers
The services named above may process information outside Ireland or the European Economic Area. Where a transfer occurs, we will assess and use an applicable lawful transfer mechanism and safeguards. We do not state a particular processing location or guarantee for every service here.
